PTTOW! is looking for an executive assistant to support the CEO with job duties as follows:

  • Conserves CEO's time: reading, researching, and routing correspondence; drafting emails and other correspondence for CEO review and sign-off; collecting and analyzing information
  • Maintains CEO's appointment schedule by planning and scheduling meetings, conferences, calls, and travel for both business and personal
  • Represents CEO by attending internal meetings in the event of the executive's absence; communicates on behalf of the executive; transcribes notes and action steps
  • Welcomes guests, clients, and partners by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains CEO, Company & Customer confidence and protects operations by keeping all information confidential.
  • Completes projects by assigning work to appropriate team members as applicable; following up on results.
  • Prepares reports by collecting and analyzing information.
  • Executes recruiting and screening process for new employees
  • Secures information by completing database backups: contacts and other information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of office equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Contributes to team effort by accomplishing related results as needed.
  • Conducts personal errands and tasks as necessary

Required Skills and Qualifications:

  • Excellent written and verbal communication skills
  • Adept with Google Docs
  • Microsoft Powerpoint-proficient
  • Great time management, project management, and organizational skills
  • Executive travel logistics experience
  • Calm under pressure; comfortable dealing with high level executives and talent
  • Polished, professional, energetic, proactive, unflappable
